Citrine Tablescapes LLC Policies
By placing a rental order with Citrine Tablescapes LLC, you (“Renter”) agree to the following policies:
Rental Items & Services. Citrine agrees to provide the rental items and services listed in your order confirmation. These may include, but are not limited to, dinnerware, glassware, linens, and décor items (“Inventory”). Citrine reserves the right to update product offerings and availability at any time.
Payment Terms. A nonrefundable 50% deposit is required to confirm your rental. Items are not considered reserved until this deposit is received via Stripe Payment Link, Direct Deposit, or Check. The remaining balance is due within 5 business days of the return or pickup date on the invoice. Charges for damages or loss will be processed within 1–7 business days following item inspection. Late payments may incur fees.
By submitting any payment through a deposit or invoice, the Renter authorizes Citrine Tablescapes to securely store that payment method and charge it for remaining balances, damage or loss fees, late return fees, cleaning fees, Care Coverage fees, substitutions, or any other amounts due under this Agreement. This authorization remains in effect until the balance is paid in full.
Delivery & Pick-Up. Citrine will provide you with a scheduled delivery time, with delivery occurring within one hour before or after the confirmed window unless otherwise arranged. If picking up, you must do so between 10:00 AM and 12:00 PM on the pickup date and return Inventory by 2:00 PM on the designated return date. Late returns incur additional fees, including continued rental charges. If you designate a third party for pickup or return, they must provide your name, order number and assume full responsibility for all Inventory upon pickup. Citrine is not liable for any damage, loss, or improper handling occurring in third-party vehicles or custody.
Care & Cleaning. Citrine provides a Care Sheet (linked) with handling guidelines. Do not wash or clean items unless instructed — many items are not dishwasher safe. Damage caused by improper cleaning, handling, or storage may result in additional charges.
Cleaning Fee. All rentals are subject to an 8% nonrefundable Cleaning Fee, applied to the rental subtotal.
The Cleaning Fee covers: Standard washing and sanitizing, Drying and packing, Routine post-event processing.
The Cleaning Fee does not cover: Wax removal, Stains, burn marks, or fabric damage, Mold or water damage, Floral and floral foam residue, Breakage or loss, Any condition requiring specialized restoration. These issues are billed separately at restoration or replacement cost.
Care Coverage (Revised Optional Add-On). Renter may elect to add Care Coverage, a 5% protection fee (5% of the total rental value and capped at $500 per order) providing forgiveness for accidental loss or breakage up to 20% of the rental subtotal, with a maximum forgiveness of $1,000 per event. Care Coverage applies only to accidental breakage or missing items discovered upon return.
Care Coverage does not apply to: Negligence or improper use, weather exposure, heat, or moisture damage. Wax, stains, or other cleaning-related damage. Items not packed securely or not returned in provided containers. Theft, disappearance, or non-returned items. Custom or specialty items unless approved in writing. Damage to bins, crates, or packaging. Late returns or unreturned items. Damage or loss exceeding the covered amount is billed at full replacement value.
If Care Coverage is not selected, Renter is liable for all loss or damage at full replacement cost.
Modifications & Cancellations. You may adjust your rental order up to 14 days prior to your event. Cancellations or reductions made:
Within 14 days: subject to a 50% cancellation fee.
Within 7 days: charged in full.
Reductions are limited to 20% of the rental subtotal at the time the deposit is received. Changes exceeding this limit may result in administrative or restocking fees. Additions must be made before your scheduled delivery date and are subject to availability.
Custom Orders & Quantity Commitment. For custom items or Inventory specially sourced for your event, quantities confirmed in writing are final and cannot be reduced after confirmation as these items may not be returned to vendors or guaranteed for future reuse.
Substitutions. Citrine may make reasonable substitutions or upgrades due to last-minute inventory changes. Substitutions will match or exceed the quality and style of the original item. Renter will be notified when possible.
Responsibility & Damages. You are responsible for the Inventory from the time of delivery or pickup until full return to Citrine. Do not alter, modify, or permanently change rented items. You are liable for all loss, damage, or breakage caused by you, your guests, vendors, or venue staff. Replacement charges are based on full replacement value, including sourcing, freight, and restocking costs, and may equal up to 5x the rental rate depending on the item category. A replacement cost list is available upon request. Late returns accrue additional rental charges daily until items are returned.
Liability & Use. Rented items are for the intended event only. To the maximum extent permitted by law, Citrine is not liable for injury, property damage, loss of business, or consequential damages arising from Renter’s use of the Inventory. Citrine’s total liability is limited to the amount paid for the rental order.
Force Majeure. Citrine is not liable for delays or failures caused by events beyond its control, including natural disasters, transportation issues, venue restrictions, or emergencies.
Governing Law. These terms are governed by the laws of the Commonwealth of Pennsylvania, and any disputes shall be resolved in Pennsylvania courts.
Acceptance of Terms. By placing an order and submitting your deposit, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. You authorize Citrine to charge the card used for the deposit for the final balance and any applicable fees.
Citrine Curator Club (Revised Program Policy).
13.1 Annual spend is calculated based on payments actually received in the calendar year (January 1–December 31).
13.2. Nonrefundable deposits count toward annual spend when received.
13.3. Refundable payments do not count toward annual spend until they become nonrefundable under these Terms.
13.4. Tiers activate only after the Renter meets the relevant spend threshold and are not retroactive.
13.5. Discounts apply only to rental items on new orders placed after a tier is reached.
13.6. Discounts do not apply to delivery, labor, cleaning fees, Care Coverage, replacement costs, or taxes.
13.7. Tier Reset: All tier statuses reset annually on January 1.
13.8. Automatic Re-Enrollment: Partner Tier Renters automatically begin the following calendar year as Member Tier. VIP Tier Renters automatically begin the following calendar year as Associate Tier.
13.9. Citrine may modify, suspend, or discontinue the Program at any time.
Privacy Policy.
Citrine Tablescapes (“Citrine”) collects and processes certain personal information necessary to provide rental services, process payments, and communicate with the Renter. This may include your name, contact information, event details, payment information, and billing address. Payment information is processed securely through third-party providers such as Stripe and Booqable; Citrine does not store or have access to full credit card numbers.Your information may be used to:
Process and manage your rental order;
Communicate about your event, delivery, or returns;
Send invoices, receipts, or order-related updates;
Charge authorized fees, including deposits, balances, and damage or loss charges as outlined in these Terms;
Maintain internal records related to rentals and customer accounts.
Citrine does not sell or share personal information with unrelated third parties, except as required to process payments, fulfill rentals, comply with legal requirements, or protect Citrine’s rights in the case of disputes or nonpayment.
By placing a rental order, you consent to the collection and use of your information as described in this policy. Additional details regarding your privacy rights and our data practices are available in our full Privacy Policy on our website.
Amendments. Citrine may revise these Terms at any time. Updated Terms apply to all orders placed after the revision date.
